Privacy Policy

What we collect about students and parents, why, and the choices you have.

This policy explains how NN Scholars Academy (“we”, “us”), a coaching institute at Street No. 1, Mubarik Mehal Colony, Sangrur, Punjab 148001, India, handles personal information through our website www.nnscholarsacademy.in, our parent portal, and our office records. We follow India's Digital Personal Data Protection Act, 2023.

What we collect

  • Enquiries (website form, phone, walk-in): parent's name, mobile number, email (optional), child's name and class, and your message.
  • Admission records: the student's name, class, date of birth, gender, school, address and admission date; the parent or guardian's name, relation, phone numbers, email and occupation; and a record of your consent.
  • Academic and office records: subjects, batches, fees billed and paid (with receipt details), attendance, test marks, report cards, homework and notices.
  • Parent portal: your mobile number, a password stored only in scrambled (hashed) form that no one at the institute can read, and when you last signed in.
  • Technical: our servers keep short-lived logs (such as IP address and time) to keep the site secure and to limit repeated sign-in attempts.

We do not collect payment card or bank details on this website.

How we use it

  • To answer enquiries, arrange counselling and the free demo week, and admit students.
  • To run classes: batches, attendance, tests, report cards, homework and notices.
  • To bill fees, issue receipts and send fee reminders.
  • To give parents secure access to their own child's information through the parent portal.
  • To contact you about your child by phone, WhatsApp or email.

We do not sell personal information, show advertising, or use it for profiling. We do not use analytics or advertising trackers on this website.

Children's information

Most of our students are under 18. We collect a child's information only from, and with the consent of, their parent or guardian, recorded at admission. Only parents (through their own portal login) and our staff can see a child's records, and a parent can see only their own children.

Who can see it

  • Our staff, based on their role. For example, teachers see attendance and marks for their own batches, not fees.
  • Service providers who store or move data for us, under their own security commitments: Supabase (database, hosted in Mumbai, India), Vercel (website hosting), Google (Gmail for sending emails we write; Google Maps on our contact page), and WhatsApp/Meta when we message you. We also send ourselves internal alerts about new enquiries and technical errors.
  • When the law requires it, for example a valid request from a government authority.

Google user data

Our website connects to the institute's own Gmail account only to send emails such as receipts, parent-portal invitations and password-reset links. It does not read, store or analyse anyone's inbox. NN Scholars Academy's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Cookies and storage

We use only essential cookies: one that keeps staff signed in to the admin area, and one that keeps parents signed in to the parent portal. Your choice of English, Hindi or Punjabi is remembered in your browser. The embedded Google Map on our contact page may set Google's own cookies.

How long we keep it

Enquiries are kept for up to two years. Student records are kept while the student studies with us and for up to three years after they leave, so we can answer questions and issue certificates. Fee receipts and accounts are kept for as long as Indian tax and accounting law requires. After that, records are deleted or anonymised.

Security

Data is stored in a protected database that can only be reached through our own server, over encrypted connections. Passwords are hashed, sign-in attempts are limited, invitation and reset links work once and expire, and staff access is checked on every request. No system is perfect, but we work to keep your information safe and will inform affected families of any serious breach.

Your rights

As a parent or guardian, you can ask us to:

  • show you the information we hold about you and your child;
  • correct or update anything that is wrong;
  • delete information we no longer need, or withdraw consent (this may mean we can no longer provide some services);
  • turn off your parent-portal login.

We will respond within 30 days.
